EXECUTIVE ASSISTANT

Executive Assistant I is responsible for supporting Executives in the organization with assistance in planning meetings and events, and arranging meals- onsite and offsite. Executive Assistant also helps enforce and manage the travel, expense report, and cell phone policies of the company. Executive Assistant reviews and compiles expense reports for accounting and payroll reimbursement. Executive Assistant also helps coordinate the Executive's schedule. Executive Assistant also prepares and keeps current documentation of all important day to day procedures, in Wiki format. Executive Assistant must be proficient in organizational skills, communication with Executives, ability to meet deadlines including a flexible schedule, an ability to work independent with minimal supervision, and Microsoft Office including Excel. Executive Assistant will adapt to changes in job requirements, learning and applying new skills as needed to ensure the company's success.
Responsibilities
- Support the Executive with assistance in planning meetings and events, and arranging onsite and offsite meals
- Helps enforce and manage the travel, expense report, cell phone policies of the company
- Accurately review and compile expense reports for accounting and payroll reimbursement
- Assist other Executive Assistants as needed
- Help maintain the Executive's schedule
- General office management duties
- Perform other duties as required and assigned by manager and upper management.
- Follow legal policies as directed.
Basic Qualifications
- High school diploma or equivalent
- Proficient in organizational skills
- Proficient in communication with Executives
- Ability to meet deadlines including a flexible schedule
- Ability to work independent with minimal supervision
- Minimum of five years of experience providing administrative assistance in a fast-paced environment
- Ability to quickly learn organizational structure and the objectives of the team
- Strong organizational, communication skills, team orientated philosophy, and problem solving skills
- Ability to prioritize and handle multiple assignments at any given time while maintaining commitment to deadlines
- High levels of integrity and discretion
- Highly motivated, organized individual who is able to work effectively with minimal supervision
- Strong Outlook, Excel, SharePoint, and Microsoft Word management skills
- Ability to build a strong internal network

Additional Requirements
- Willingness to work long hours and weekends if needed
- This position requires the incumbent to sit, stand and perform general office functions. The incumbent may also be required to lift up to 25 pounds occasionally. Bending, stooping and reaching are also frequently required.
- Must be able to travel domestically and internationally as needed
